MS Word Legal and Corporate - Auto Means Something Else…

MS Word Legal and Corporate - Auto Means Something Else…

Scenario:  The Secretary has a cover page.  She has 5 lines centered.  Hard return after each line.  They wish to have zero space between the lines that are vertically centered as well as horizontally centered.  When she goes to Format, Paragraph, it says Auto next to “Before and After.”  Still, we have space between the lines.

Let’s solve the first issue and  then I will show you a better way to go about the same thing which would be the way it would be handled in most larger firms.

First issue:  When the secretary sees “Auto” under Format, Paragraph, Before and After, it means 0.6 for both Before and After (1/2 line), which is why they still have space between the lines.  Once the Auto was changed to Zero (0), under Before and After, the lines tightened up as needed.

How I would do it:  They had a 5 line Cover Page.  Between each line, I would use a soft return except for the last line which I will leave as a hard return.  Soft returns are accomplished by using Shift Enter.  It would look like what you see below:

The Apex Group (Soft Return)
An Introduction (Soft Return)
Who Are The Board of Directors? (Soft Return)
Presented At The New York Hilton (Soft Return)
January 5, 2027 (Hard Return)

By using soft returns after each line (with the exception of the last line), I can apply a style 1X to the 5 lines and all five lines will be under the control of the one style.  I can call that style “Cover Page Text.”  You need at least 1 hard return which holds the formatting for the 5 lines.
Rule: Soft returns only separate lines but do not have the ability to hold formatting.

Now, you are in a situation where if you do not want space between lines, you should have Zero Before and After Spacing and Single Space.

But, here is the deal:  If they decide they want spacing between the lines then you bump up the Line Spacing to increase the distance between the lines such as Double Space or the use of Multiple Lines so you can use 1.5 or even 3 line spacing.  This is so because with the exception of the last line, you have soft returns separating each line and the line spacing option is how you control the space between lines for this type of a scenario.  Before and After should be left at zero and only serve to open space between paragraphs not lines.  I use soft returns on multi line headings that are centered as well as the lines of my inside address area with the exception of the last line as always.  You always need one hard return to hold any attributes or paragraph formatting.
