MS Office Legal and Corporate:  2 Hours of Solid “Ask Anything You Want”.  Take Care of a Lot of Loose Ends… We have offered “ Ask Anything You Want ” before and it was very helpful to those who took part.   You see, many people in our industry know a lot and have been exposed to a lot but nevertheless, have questions about the software that they need to have answered.  The questions usually involve a missing step but on many occasions, they involve going through a procedure from beginning to end.   This two hour session is a 1 on 1 or 2 on 1 at the most which includes narrative material to memorialize those questions that we went over and this will be provided to you post session .  You are the one who asks the questions.  Our job is to answer each question as thoroughly as we can.  You can ask one question or 10 questions.  It’s your choice. Don’t worry, we will also supply documents so that we have material to use as we go over each questi...

No, The Document Is Not Corrupt... Scenario :  Secretary is asked to bring in a logo and a number of JPEG pictures for a brochure in MS Word.  The secretary does so and the pictures won't show on the screen. There is now a box like figure where the picture should have been.   1.  The secretary under some pressure, deleted the boxes and started again but got the same result. 2.  She was in Print Layout View.  To make matters worse, when she switched over to Draft View, she did not even have the box in place of the picture but instead a large gap where the picture would have been. 3.  She went to her help desk and they said that “ the pictures are showing under Draft and Print Layout View when they go to File - Print and look at the Preview ”.  They then said she should just print the file out for now. 4.  She really was not comfortable with the answer, but at least she could print the file and get the pictures in their intended location...

Two Shortcuts Related To Extended Highlighting - Selection Mode

Image
Two Shortcuts Related To Extended Highlighting - Selection Mode I have talked about the useful extended highlighting feature a number of times.  Before 2007, you would use the F8 key to turn it on or the " Ext " area of the status bar that no longer exists to turn it on or off. From 2007 onward, you can still use F8 to turn Extended Highlighting on but now it is also referred to in the Status Bar as " Selection Mode ".  You have the option to easily turn it on or off (in the “ Customize Status Bar Menu ) as well as using the ESC key. Either way, you can target specific areas of text for quick highlighting such as pressing the return key to highlight a PARAGRAPH at a time or another example would be pressing the period key to highlight a sentence at a time.  It highlights up to the first instance of whatever key or combo of keys you type .  PLAY WITH SELECTION MODE.  Once you get it it is way more stable that highlighting with only the mouse.   Remember : ...

Section Printing - Target What You Need.

Image
Section Printing - Target What You Need.   This feature has come to the rescue many a time when an attorney needs a particular piece of a large document right away. They want a particular piece of the document printed to go to a meeting with it, a conference call due and they just need a particular piece of the whole:  1.  If you do not have Section, Page and Formatted Page Number on in the Status Bar (Bottom Left of Page) you will have a harder time in determining the targeted area you wish to print.    Right click  on the Status Bar and place a check next to Section, Page and Formatted Page. 2. On large files, people tend to send the entire document to print. Then, they look for the requested piece amongst the many pages. 3. Some people misinterpret the page numbering system within the document 1,2,3 (the page numbering assigned to a particular portion of the document) etc. vs. Page 4 of 120 meaning the "system page count" for that document. T...

MS Word Legal: The Strategy Session Volume 2

Image
MS Word Legal:  The Strategy Session Volume 2 Getting Ready and Structure First:  Clearing up those Issues From The Very Start That Tend To Hold Us Back… Authored by Louis Ellman  Clearing up the very thing that confuses most new MS Word users that is of course Page Numbering and Section Breaks!  I wrote this book only a few years ago but it holds up fine and our students use these methods every day! I teach for the public, top-tier legal firms, outsource legal staff, large corporations and I consistently see one thing that they all have in common: They do not have a routine that they use before they ever start editing a document.  Also, they do not have a routine that they use to properly segment, page number and title all items relating to structure.  This is across the board.  This book goes over these routines piece by piece and this is the same vital and unique info that I personally share with my students including many inside tips that a...

Documents and Libraries in DMS Systems.

Image
Documents and Libraries in DMS Systems.   Scenario :  I have been asked to do a Document Comparison whereby the earlier version of the document is using a document number for the name of the file 54327.3 (version 3) and the current version is sitting in 52785.4 (version 4).  The two separate documents are sitting on two separate servers , 1 being in the Los Angeles office (the earlier version) and one sitting in the New York Office (the latest version). The request is easy enough, but for those who are new to the industry, most medium and large firms make use of Document Management Systems (“DMS”), in order to properly store their voluminous documents.  Documents are easily retrieved by using a sequential numbering system and we simply put the document number associated with a particular document into the DMS software to retrieve our document.   On already existing documents, the document number will be placed in the footer of the document on the left side usual...
