MS Office Legal and Corporate - Dealing With Building Blocks - Another Way To Avoid Having To Do Things Again and Again…
Scenario: A number of years ago, when working as Coordinator in a word processing center, I had a document that I called “Pieces”. That was my junk yard for pieces of documents such as all types of Caption Boxes, Signature blocks, Financial Tables, Red Herring Boxes, Line Numbering Boxes and other items that I used on a regular basis. By having them in the pieces document, I gave myself a huge head start. Well, at that time, I had known about Building Blocks but never used them. Well, you can use my “Pieces” concept or better yet, an organized way to capture and keep vital items that pop up again and again so you are always in a position to never have to do them from scratch.
How to create a building block;
- Highlight the content you want to save, which can include text, images, tables, or other elements.
- Go to the Insert tab, find the Text group, and click Quick Parts.
- Select “Save Selection to Quick Part Gallery” from the dropdown menu.
- In the Create New Building Block dialog box, give your block a descriptive Name such as “Left Side Signature Block”, “Caption Box with Colons” choose a Gallery (like Headers, Footers, or Quick Parts), and select a Category.
- Click OK to save it.
- You can also choose to save it to a specific template to make it available in other documents based on that template.
Once done, the most recent entries are visible, but if you need to go into the “Building Blocks Organizer” where you see many available building blocks as part of the generic MS Word makeup, you can sort the listings, Gallery, vs. Category vs Template to QUICKLY zone in on your Building Block entry and when selecting it, it will then appear in your document ready for use.
I suggest that you use a Caption Box or Signature Block or other useful item for your testing and going through this quick and easy process of creating them. They are easy to use and you will become a pro very quickly as to creating your own set of Building Blocks!
