Sizing Up Your Documents When Setting Them Up From Scratch! Scenario : An attorney brings to you a document that is composed of hand written pages, typed up pages that will be inserts, some of the typed up pages have document numbers where you can grab the material without having to type the insert related material.   The attorney has asked you to please create a TOC, TOA and Index of Terms page.  You are also informed that there will be an Exhibit A and B in the back of the documen t.  So knowing this info upfront, how do we go about segmenting the document into its proper sections? Of course we need a cover page.  Most probably it will need a border and will be centered vertically on the screen.  Therefore we need a Section Break “Next Page ” after our cover page. Once In A While You Have To Use Add Tab Stop… So, what is going on in this scenario? Example: Heading 1. Part 1.Termination Provisions(Hard Return) In the scenario above, we have a Heading 1, whereby the word "Part" and the automated "1" represent the Numbering aspect of the Heading 1 in the Multilevel Outline.  The Textual Aspect of the Heading 1 is the words "Termination Provisions" which is controlled by Modifying Heading 1 itself and adding your Font and Paragraph related attributes, Note:  In the Heading 1 sample above, note that the word "Termination" is very close to the auto number 1 and can use some space. 1.  Normally, in your Multilevel Dialog Box, we choose "Follow Number With Tab Character" which usually gives us a complimentary 0.5 spacing between the Numbering and Textual Aspect of the Heading,  in the case above, it did not, so we have to use "Add Tab Stop" which is right underneath "Follow Number With...

MS Word Go-Back Command Scenario : You are working on a very heavy markup. You know the type. If you take your eye off of the screen it is difficult just to find where you made the last edit. You may also be working on a heavy edit laden document where you are asked to do something else with this same document for the attorney. You are already eye fatigued and the going back and picking up where you left off is just tedious. So this short-cut lets the system do the location finding of where you made your last edit and helps to save the wear and tear on your eyes. When editing, Shift+F5 goes back to up to three editing points, and when you use it for a fourth time, it will then return to where you started with your cursor. On letters, agreements, contracts etc. each page can be crucial (interdependent of the previous or next page) and the accounting of each page becomes very important.  If we go to the printer and we get 15 pages but the footer says "of 20" then we know we are missing pages.   Without the X of Y set-up, sometimes it may not be as apparent that we are missing pages. You can also have missing pages from the middle of the document.  When people share a printer at a busy office a lot of things like this can occur. Another reason to account for each and every page involves the request of those involved to initial each individual page.  They do this so that at a later date, one cannot claim they did not know about a certain provision of the contract or agreement since the initials imply you have read and understand each page. Email Recipients Last - Write Your Email First... Every week I see people write about the fact that they accidentally sent the email they were entrusted to send to the wrong recipient.  More often than not, the very people who were NOT supposed to receive that information.  The other scenario is they sent an email when they were angry and said things they wish they could take back. As you can imagine, there is a lot of hand wringing and  stress.  People make mistakes but if you use my method, you will be very unlikely to ever make the error..    1.  Compile the emails of the recipients.   2.  Compose the email.  Load any documents involved. 3.   Read your email carefully and double check that the documents are the right documents. 4.   Finally, load the recipients last and check that they are correct.  By loading the recipients last, you can't prematurely send the email. 5.   If the email was written when stressed or ...
