 Heading 2 Won’t Run In The TOC



Scenario:  We get a call.  When the secretary runs the TOC they do not see the second level of the TOC even though the Level 2 entries have had Heading 2 applied throughout the document.

First, I went into “Options” under the TOC Dialog Box and made sure that Heading 2 was in fact included in the TOC.  It was.  When we looked at the document they have a hidden return scenario within the document.  Before there was “the style separator” (Pre-2003) this was the situation:  When the Heading 2 text shared the paragraph with the body text we used to use a hard return with the “Hidden Attribute” applied to the hard return.  The Hard Return came in directly after the Heading 2 text and the text after the hidden attribute hard return was set for body text style.

When you looked at the document under Print Preview, the Heading 2 paragraph looked as one altogether paragraph (on printout as well), but on the regular screen, the body text laid directly under the heading 2 text (as shown above), because the hidden attribute works for us as needed on the printout but on the regular screen, the body text lies underneath the Heading 2 text because it is still a hard return and is just simply using the Hidden Attribute.  The hidden aspect makes the paragraph look “together” on printout.

Why did we used to do this?  This prevented the body text portion of the Heading 2 paragraph from being transferred to the TOC.  The body text portion was purposely disassociated from the Heading 2 but on printout, you would never know it was two separate pieces (Heading 2 vs. Body Text).

So back to the original issue.  I went to the Multilevel Dialog Box for Heading 2 and under Font, there was a Check next to Hidden and I removed that.  That took care of the numbering aspect of Heading 2.   I then went to modify Heading 2 in the right side panel and under Font, I removed the check next to Hidden which took care of the textual aspect of Heading 2.  These Hidden attributes both being active was what was “blocking” the Heading Two text from appearing  when they ran the TOC.  Point Being:  Only the Paragraph symbol should have been using the “Hidden” attribute.

When the original operator put the document together way back, I think they simply over highlighted the text when applying the hidden attribute to the hard return that was placed to the right of the Heading 2 text.  With hidden basically applied to the entire Heading 2 (numbering and text), that prevented Heading 2 from running in the TOC.  And, it probably would have prevented that same text from printing out when being sent to the printer.

Directly below, I include an article I wrote concerning the “Red Pilcro” scenario which involves a similar situation.  The Red Pilcro used to be used to alert other operators that the Hidden Return was in use.  Old documents are still out there and if you see a hard return with the little tell tale dots underneath you know Hidden is being used or if you see Red Pilcros (returns), you know as well.
