MS Word Legal and Corporate - Draft Vs. Print Layout - What You See and What You Don’t…

Left Side Style Panel:

As a lot of you know, we like to operate in Draft View because the left side tracking panel lets us know what style is attached to each piece of text in the document.  We turn that on under File, Options, Advanced, Display, Style Area Pane 1 inch.  When you switch over to Print Layout, you don’t see your Left Side Tracking.  But your right side style panel will tell you what style your cursor is on at the moment or you can also load your “Style Box” on your Quick Access Toolbar or you can bring up your “Apply Styles Toolbar” (Control Shift S), which will also let you know the particular style your cursor is on at the moment.

Headers and Footers:

We know that when we set Headers or Footers we go to “Insert Header or Footer” set up the header or footer and then exit out of the Header/Footer toolbar.  When in Draft View, the Headers/Footers are not visible, but when in Print Layout View you will see your Headers and Footers.  If you do not see your Headers and Footers in Print Layout View go to File, Options, Display and make sure “Show White Space Between Pages In Print Layout View”.

Vertical Page Alignment:

When we create cover pages, many times we place the text in the middle of the page (Vertical Alignment Center).  When in Draft View, we do not see the Center Vertical Alignment.  Upon switching over to Print Layout View, we now see that the text is Vertical Alignment Center.

Columns:

When dealing with Columns.  Let’s say I have 3 columns.

When in Print Layout I will see the 3 distinct columns.  When in Draft View, the 3 Columns will appear as one long strip against the left side margin.

Footnotes:

When in Print Layout View I will see the footnotes at the bottom of the particular page that the Footnote “stems” from.  In Draft View, you will not see your footnotes unless you go to References, on the left side choose “Show Notes” and all Footnotes will be visible one after another in Draft View.  This particular view is great when you have edits to many of the Footnotes it becomes easy access since they sit one after another.

Tables:

When in Draft View, you will not receive the little Target Symbol that allows you to select the Table with one click.  When in Print Layout View, the target symbol will appear as soon as you place your cursor anywhere within the table.  Clicking on the target symbol selects the entire table.
