MS Office Legal and Corporate - Editing text in Footnotes Easily
Scenario: The secretary is working on a document with a lot of footnotes. The attorney has given her a heavy markup which includes a lot of edits to the separate footnotes that reside at the bottom of each page. There are about 70 footnotes in total. She asked if there is a faster way to plough through the editing of the footnotes as soon as she gets the edits in the regular part of the document done.
Okay to start out with some basics: We can edit footnotes directly in Print Layout view in Word by clicking on the footnote text at the bottom of the page and making your edits. But there is a better way to go about this:
When in Draft View: Go to your “References” tab and look at the left side of the ribbon. Look for “Show Notes”. It acts as a toggle. Click it on and all of your footnotes will be displayed at the bottom of your screen one after another. That is how I wouid edit the footnotes because of the easy access and I do not have to go to the bottom of each individual page. Rather, I can edit each one right in the same location making it easy access. Show Notes opens and closes the footnote area on the bottom of your screen when in Draft View.
Next time you have a load of footnotes to edit use the “Show Notes” method and make your life easier.
