MS Office Legal and Corporate - Batch Printing
Scenario: The attorney has asked the secretary to print all of the files that are in a zip folder that he had sent to her email. She downloaded the zip folder and copied the zip folder to her desktop right clicked and extracted the folder. There were 30 files in the folder and she was wondering if she had to print in at a time. Let’s go over how she could handle the request using MS Word.
Methods for Batch Printing Word Documents
- Windows File Explorer (Fastest):
- Go to the folder containing the Word documents that you have been asked to print.
- If you have “15 or less” files you can do
Ctrl+A(to grab all 15), or holdCtr,while clicking on the files you wish to print let us say 5 at a time. - Right-click on any selected file(s) and select Print.
- Note: This works best for 15 files or fewer, as the option may disappear with more files.
- Merge into One Document (Large Batches): Not crazy about this method but you should know this alternative. Personally I would rather keep them separate and send them to print.
- Open a new, blank Word document.
- Go to the Insert tab.
- Click the arrow next to Object and select Text from File.
- Select all the files in the folder or the ones that you want to place back to back (use
Ctrl+A) and click Insert. The documents will load into the document one after another. - Print the combined document.
One more method - I still like the first method the best.
- Drag to Print Queue:
- Go to Windows Settings > Printers & scanners.
- Click your printer, then select Open queue.
- Select your Word documents in the folder, then drag and drop them into the print queue window.

For the Adobe Professional batch printing, you can select the files in the folder, right click, and go to print as you did with the Word Files. You can also use what is called the “Action Wizard”:
Using Action Wizard (Recommended for Recurring Batches). This method allows you to automate printing for large numbers of files.
Go to the Tools pane and select “Action Wizard”.
- Click New Action.
- Under "Choose tools to add," select Files to be Processed > Print.
- Save the action (For Example "Batch Print").
- Run this new action and select the files or folder you want to print.
Method 2: Combine Files Before Printing
You can merge all of the files as well and then
go to print:
Open Acrobat and go to Tools > Combine Files.
- Add all the PDF files you want to print.
- Click Combine.
- In the new merged file, go to File > Print
Finally, Batch Print Using Nuance aka Power PDF,
Kofax or Tungsten
- Navigate to the Advanced Processing tab and click on Sequencer.
- Create/Edit Sequence: Click New Sequence and name it (e.g., "Batch Print").
- Define Actions: Select Edit Workflow to add commands, such as printing or adding watermarks.
- Run Sequence: Select your newly created sequence and click Run Sequence.
- Select Files: Choose the files you want to print and click Open or OK to start the process
