MS Office Legal and Corporate - I Can’t Open Different Programs On Two Separate Screens

Thank you Christine, for reminding me of a common issue (Extended Display), concerning working with two screens on a daily basis.  



We used to work off of a paper copy for the edits and we had our one screen for MS Word and/or whatever program we were using at the moment.  Because of confidentiality, most larger firms are using the 2 screen system whereby one screen is used primarily for MS Word and the other for a PDF which represents the Mark-Up from the attorney.

So with this being said, let us go over how you ensure that you can load a different program in each screen and how to hop between two screens.  Here and there people will call and ask “why can’t I load the PDF on the second screen?”  What am I missing?

Turning On Extended Display (Windows 10 and11)
  1. Make your second monitor is plugged in (HDMI, DisplayPort, USB-C) and powered on.
  2. Go To Settings: Right-click on your desktop and select Display settings.
  3. Find Multiple Displays: Go to the "Multiple displays" section.
  4. Look for Extend: Click the dropdown menu and select Extend these displays.
  5. Make sure you click "Keep changes" when prompted.
Almost Done:

Decide on the arrangements of the Display: In the same display settings menu, tug the numbered boxes (1 and 2) to match their physical placement on your desk (e.g., if the second monitor is to the left, drag box 2 to the left of box 1).

  • Identify Screens: Click the Identify button to show numbers on your screen to confirm which is which.
  • Set Your Main Display: Select the screen you want to use as your primary (where icons go and apps open first) and check "Make this my main display". That “should be” the one on the left.
  • Quick Toggle: Press Windows Key + P to quickly switch between PC screen only, Duplicate, Extend, or Second screen only.
So now you have two working screens:

Moving Between Two Screens:
Now that you have two working screens:  To move or switch between MS Word and Adobe Reader (as an example), on extended screens, use your Windows Key and Shift + Left/Right Arrow to jump between the two open screens.
