Editing Footnotes The Right Way
There are situations whereby people will alter the footnote material with Direct Formatting. Let's review the way to affect the look of the Numbering Aspect of a Footnote and/or the Textual Aspect of a Footnote by working with the actual styles that control them.
Modifying the styles that represent the Footnote numbers vs. the Footnote Text.
What Styles Control A Footnote? If you want to see this clearly, turn on your Apply Styles Toolbar “Control Shift S”. The second you highlight the individual components, the style name will show up in the window of the Apply Styles Toolbar.
1. Suppose the attorney wanted an alteration to the size of the Text or the look of the Text or Reference Number.
2. When you insert a Footnote, you have a Footnote Reference Number within the body of the text Superscripted as well as a corresponding Reference number at the bottom of the page associated with the brand new footnote.
3. Sweep (highlight), your cursor over the footnote reference number "within the text" or at the open Footnote at the bottom of your page, your style pane to the right will read "Footnote Reference".
4. Now place your cursor on the footnote text. The style associated with the footnote text is called "Footnote Text".
5. If you need to modify the footnote reference numbers or the footnote text in any way, you know what styles control the two parts of the footnote!
6. Do not alter the numbering or the text of the footnote with direct formatting. It only causes additional work for someone who has to fix up the mess.
Dealing With Footnote Separator Lines:
Scenario:
You need to alter the spacing after the Footnote Separator Line. They request that the footnote separator line, have 0.6 After Spacing between the Separator Line and the first line of the first Footnote. You don’t have to do this but let’s just imagine that the attorney wanted to have a little more space between the Reference Line and the first Footnote of each page.
The Key thing: "Draft View." You cannot get to the Separator Lines for editing purposes from Print Layout View. .
1. Go to Draft View
2. Go to References, choose Show Notes.
3. Click on down arrow next to “All Footnotes” and choose Footnote Separator Line.
4. Now you can enter your Footnote separator. Go to your Home Tab and Paragraph and put in the 0.6 After Spacing. Close the open Separator Line area (click on "X" to the right) and you are good to go. Also, in Draft View, you will see all of your footnotes one after another opposed Print Layout View where you see the Footnotes at the bottom of each page.
