MS Office Legal and Corporate - Rules You Need To Know…1 of 2

Questions consistently are asked of us concerning why they get a myriad of results in terms of the look of their Table of Contents, and their Index of Terms.  Because they don’t know why things occur, they become frustrated that they can”t seem to count on a consistent look or result.  Let’s clear this up with some rules of the road.

The Table of Contents:
In order to control the look of Heading 1 or Heading 2 which usually makes up most TOC’s, the raw text (normal style), must be in the Textual case you desire before you apply your Heading 1 style.  Meaning, if you want your Heading 1 text of the TOC to be in Uppercase (very common), then the raw text must be in uppercase before Heading 1, is applied.  If you wish for Heading 2 to be in  Initial Cap (aka - Capitalize each word), then that heading two text has to be in Initial Caps before applying Heading 2.  When you run the TOC you will then receive whatever the raw text looked like before you applied the Heading Styles.  The Heading Styles determine what the Headings will look like within the document.  

We use the Heading style attributes such as Bold, Italic and Underscore to add attributes to the Heading text within the document.  Any character style attributes applied to your Heading Style Text, will be transferred into your TOC which is WHY we place the attributes in the Heading Styles and DO NOT make use of Character Styles on the Heading Text that will be included in the TOC.

Sure, you can modify TOC 1 and TOC 2 in the completed Table of Contents in Terms of changing all text over to uppercase etc. but you won’t be able to manipulate the text in the TOC in terms of modification if the Heading Text is a mixture of Initial Cap and sentence case.  That is why, if you put the text in first within the document before applying the Heading Style you will always get what you want in your TOC.
