MS Word Legal/Corporate: How Would you Know what style your cursor is sitting Upon?
Scenario: Attorney gives you a document to edit. You are told that some of the Defined Terms (“Defined Terms”), within the document are bolded manually and some are bolded using a “character style”. You are asked to make sure that all Defined Terms are using a Character Style for the Bold attribute.
The character style is beneficial because it allows us to change or add attributes such as Italic or Underscore to a piece of text quickly with a simple modification of the already existing Character Style, rather than on a one by one basis if using Direct Formatting.
So back to our original question. When going through the document how can we quickly know whether the piece of text that is Bolded (which is our scenario), was Bolded using Direct Formatting or by the use of a Character Style?
- Of course we can use our right side style pallet to see what style lights up when we place our cursor on the bolded Defined Term. Sometimes with a crowed pallet of Styles you may need to keep manipulating the Style Box to see which style your cursor is currently on.
- Even easier, is using the “Style Box”. This is the key. When I place my cursor on a Bolded Term that was Bolded with Direct Formatting, the Style Box should reflect the “Paragraph” style that this term is sitting within. On the other hand, when I place my cursor on a Bolded Term that was Bolded with a Character Style, the Style Box should reflect the “Character” style that was used and this is how you can quickly ascertain if the Term is Bolded using Direct Formatting or a Character Style.
- As requested by the attorney in our case, if you come across a term that was Bolded using Direct Formatting, you simply apply the Character Style and move on to the next one.
