MS Word Legal - The Different Types of PDF's



If you are working anywhere in the legal industry then you are dealing with PDF files.  Most of us just use the PDF in its basic form but most of us don't realize that there are many types of PDF formats that can be saved and sometimes required.  A regular PDF is susceptible to fonts changing, pictures losing quality and colors being misinterpreted.  Let's go through the other types of PDF's other than the traditional and most often used""PDF".

PDF/A - Saving as a PDF/A is used for archiving important documents for long term use and this will embed the fonts so that they cannot be altered or misinterpreted now or in the future by any software that is used to read these documents.  Fonts will not change in look or accidentally, letters of the alphabet being misinterpreted.  In short, the integrity of the document is safe.  Libraries, Smithsonian, the SEC and other archiving institutions would require the PDF/A

PDF/X - This is short for a Press Ready PDF such as for a commercial lithographic printer.  This ensures that colors will print as intended, the font will print as intended, the colors will be locked down and print exactly as intended and images will print as intended in terms of quality and size. Page background colors and background photos will bleed to the edge so that the Graphic Printing House has the ability to trim the page as needed.

PDF/E - this is used for engineering type documents.  This started off to protect the integrity of 2 dimensional images such as patent drawings and then the newer type 3D Engineering displays that are now in use having to do with 3D Printing and design manufacturing.  This will ensure that the integrity of the document stays intact for long term storage no matter what is used to view these blue prints now or in the future.  Fonts, letters, numbers, symbols and layers all locked down and embedded to ensure that the document is always viewed as intended.
