Using Multilevel Outlines? Don’t Type The Number...


It really does not matter if you are doing MS Word Legal or Corporate, this issue will come up often.  Knowing this info, will solve a number of issues that come up when using Multilevel Outlining.  Here is Scenario No. 1.

Scenario 1.

A. The numbering aspect of my Heading 1 is the word ARTICLE followed by the number 1.   When I bring in the first instance, the Heading works fine, but as soon as I introduce the second instance of Heading 1, the number portion refuses to tally to the next number forward.

B. When you are in the Multilevel Dialog Box, you “Must” use the  “Number Style For This Level” option to choose the numbering type but NEVER type the number in as plain text.  When you choose the number type, it comes in as a field code and will thus tally up as you use the Heading Style from one instance to another.   If you type the number, it will be considered static text and will simply bring forth that same number again and again.

Scenario 2.

I am doing a Combo number 1.01.  Combo Numbers are created in the Multilevel Dialog Box by going to “Include Level From” (we choose Level 1) followed by “Number Style For This Level” which represents the numbering portion of Heading 2.

Those two separate field codes create the Combo type number which in this case will be 1.01.  The most common Combo number is a combination of Heading 1 and Heading 2. 

So, in this scenario, I go to “Include Level From” and there is nothing to choose.  I should have seen Level 1.  What now?

A.  Whomever set up the first level of the Multilevel Outline typed in an Arabic 1 instead of using  “Number Style For This Level” and choosing 1,2,3.

B.  By typing in the number, nothing was registered in the “Include Level Number  From” Dialog Box.

C.  Go back to Level 1.  Use Number style for this level to bring in the field code that represents Heading 1.  In this case, 1,2,3 numbering style.

D.  Now, when in level two, when going to the “Include Level Number From” Dialog Box, Level 1 will be waiting for you.  Select Level 

E.  Put in a period after the Field Code that represents Heading 1, and choose “Number Style For This Level” and to represent the Heading 2 portion, choose the 01,02,03 type numbering.   Now you have two field codes 1.01 which come together and create this  number type each time you ask for Heading 2. So you will see 1.01, 1.02, 1.03 etc. and you are back in business!
